AdPolish is a free web tool designed to help schools improve the quality, clarity, safeguarding compliance, and attractiveness of education job adverts. This Privacy Policy explains what data we collect, why we collect it, how long we keep it, and your rights.
1. What AdPolish Is (and Is Not)
AdPolish analyses job advert text submitted by users. It is designed for organisational recruitment content only.
Important:
- Do not submit personal information (PII).
- Role-based work contacts (e.g. hr@trust.org.uk) are permitted.
- Names of staff, applicants, personal phone numbers, CVs, and home addresses must not be included.
Most job adverts contain organisational data and do not constitute personal data under UK GDPR.
2. Data We Collect
a) Advert Content
We process the job advert text you submit (via paste or Word upload) in order to generate your analysis results.
b) Technical & Usage Data
When you use AdPolish, we automatically collect limited technical data:
- IP address (or hashed IP)
- Browser type and user agent
- Date and time of submission
- Input type (paste or file upload)
- Word and character count
- File name and size (if uploaded)
We may also infer an organisation name from domain references contained within the advert text.
3. Why We Process This Data
We process data in order to:
- Provide instant scoring and recommendations
- Maintain system performance and reliability
- Prevent abuse or misuse of the service
- Monitor tool accuracy and improve rule quality
If personal data is included accidentally, our lawful basis under UK GDPR is Article 6(1)(f) – Legitimate Interests, specifically to: provide the requested service, maintain security, and prevent misuse.
4. AI Processing
AdPolish uses an external AI provider to generate certain qualitative checks, suggestions, and the “Analyst View”.
- Only the submitted advert text and rule results are shared.
- No login accounts are required.
- Your data is not used to train public AI models.
5. Data Retention
Submitted advert content and associated logs are retained for a maximum of 180 days for performance monitoring, troubleshooting, and audit purposes.
After 180 days:
- Advert text and identifiable logs are deleted.
- Aggregate statistical data may be retained.
6. Data Sharing
We do not:
- Sell your data
- Share your data with recruiters or third parties
- Use submissions for marketing targeting
Data is processed using secure cloud infrastructure located in the UK or EU (where possible) and protected by encryption in transit (HTTPS).
7. Security Measures
- HTTPS encryption enforced
- File size limits (2MB maximum)
- Basic automated checks to prevent personal data submission
- Rate limiting to prevent abuse
8. Your Rights
Under UK data protection law, you have the right to:
- Request access to data we hold about you
- Request deletion of your submission
- Object to processing where applicable

9. Cookies
AdPolish does not use advertising cookies. Minimal technical cookies may be used for essential site functionality.
10. Changes to This Policy
We may update this Privacy Policy periodically. Changes will be published on this page with an updated revision date.
